Order Management

Order management brings every detail of a customer’s order into one place — billing and shipping addresses, the items and options they purchased, totals, and shipping details. Refund orders, update line items, and edit customer information, all from one screen.

Order Management

Managing your store should be easy — and with EasyCart, it is. The order console lets you refund orders, update line items, and edit customer information from one interface.

Editing orders

Order status drives a lot. Third-party payments like PayPal Express show as “Third Party Pending” or “Third Party Approved” once completed at PayPal, while live processors such as Stripe, Square, and authorize.net land on “Card Approved” or “Order Confirmed.” Approved statuses also gate downloads: an order set to “Order on Hold” or “Pending Approval” hides download links, while “Card Approved” or “Third Party Approved” reveals them. Bill Later orders start as “Direct Deposit Pending” — change them to any status once you receive payment, since collecting funds is up to you.

From the order list you can also run these actions in bulk:

  • Printing receipts & packaging slips — quick prints; packaging slips include fulfillment checkboxes, receipts include totals and values.
  • Send order shipped emails — bulk-send shipped notices; tracking info is included if you’ve added it.
  • Change order status — bulk-change status; remember approved statuses unlock downloads, subscription, and membership content.
  • Export orders to CSV — pull order data for reporting or accounting software.
  • Mark orders viewed — new orders show a (!) and a menu bubble; opening one marks it viewed, and you can clear them in bulk.
  • Export to Stamps.com — export order data as CSV to import into Stamps.com.

Managing individual orders

The icons to the right of each order give you fast, per-order controls:

  • Quick Edit — the first icon opens a slide-out to quickly change order and shipping status.
  • Full Edit — the pencil icon opens the full Order Detail manager for refunds, line items, and everything else.
  • Duplicate Order — copy an order a customer placed, handy for a range of workflows.
  • Delete Order — remove an order (for example, a test). This isn’t recoverable, so use it with caution.

The Order

Order details

Order details holds everything the customer chose — item information and all their options. From here you can edit the order date, adjust order status, and print packaging slips or receipts for the customer or your fulfillment team. Professional and Premium users can also edit line items (and add new ones), then click Send Order Shipped Email to notify the customer, including the carrier and tracking number entered on the right.

Pro & Premium only

Editing features — including line-item edits — are available in the Professional and Premium editions. Free editions don’t have editing enabled.

Refunds

Some gateways such as Stripe and authorize.net process refunds via remote calls. If you don’t see a Refund button, process the refund on your payment gateway’s website and adjust the order here manually.

Marketing & Totals

Marketing info, totals & history

  • Marketing Information — gift cards, coupons, and private notes, plus a cart weight total useful for shipping.
  • Order Totals — process refunds and edit totals; the editing options vary with your tax and shipping setup (GST, HST, PST, VAT, Duty, etc.).
  • Order History — the Pro & Premium editions log every event from start to finish below each order.

Customer Information

Everything on the customer side

The right side of the order holds the customer’s details — addresses, payment method, and more:

  • User Account — reassign the order to another customer by typing their name; this lets them see it in their account.
  • Text Notifications (optional) — for the Text Notification Cloud System; shows subscriber phone numbers on the order and lets you add more.
  • Shipping Address — editable with a Pro or Premium license.
  • Shipment Information — edit the shipping selection and add a carrier and tracking number, then send the customer a shipping email.
  • Billing Address — editable with a Pro or Premium license.
  • Billing Information — varies by gateway; live processors show the last four digits and expiration (handy for phone verification), while some like PayPal may not.
  • Customer Notes — any notes the customer left at checkout.
  • Customer Collection Info — the customer’s IP address and terms agreement, useful for disputes and fraudulent charges.

Restaurants

Restaurant order management

Using EasyCart for restaurant ordering? Turn on extra order-manager columns for pickup and delivery times under Settings › Additional Settings. Once engaged, Pick Up Date and Restaurant Time columns appear in the order manager so you can see when customers expect their orders, and the order details show the restaurant and preorder pickup times in the upper-right corner.
